Privacy notice

Draft — not yet reviewed by counsel. This page describes what the hollend.com website does, verified against the code in this repository. It has not been reviewed by a lawyer and does not yet cover Hollend’s business operations off the website.
Hollend Furnishings handles personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA). This notice explains what the hollend.com website collects, why, and what you can do about it. Information we hold about you as a customer — through quotes, orders and installations — is governed by the agreement covering that work.
1. Accountability
Hollend Furnishings is responsible for personal information under its control. Our Privacy Officer is accountable for compliance with this notice and can be reached at info@hollend.com, by phone at (905) 738-1233, or by post at 8-411 Confederation Pky, Vaughan, ON L4K 0A8.
2. Identifying purposes
We collect personal information through this website for these purposes only:

3. Consent
Submitting the enquiry form is your consent to us using those details to answer you. You may withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice — write to the Privacy Officer above. Withdrawing consent may mean we cannot progress an enquiry or quote.
We do not use your enquiry for marketing without asking you separately, and we do not sell personal information.
Cookies and browser storage
This site sets no advertising or analytics cookies and loads no third-party tracking scripts. The only thing it stores in your browser is a record of your own choice in the cookie settings panel, which never leaves your device. You can review it at any time from Cookie Settings in the footer. If we ever add optional cookies, they will be off until you turn them on.
4. Limiting collection
We collect only what is needed for the purposes above. The form asks for three things; company and phone are optional. Please do not send sensitive personal information through the form — use the phone number or postal address instead.
5. Limiting use, disclosure and retention
Enquiry details are used to answer your enquiry and are not disclosed to anyone outside Hollend Furnishings except the service providers named below, or where the law requires it. We keep enquiries only as long as needed to answer them and to keep a record of any resulting quote or project, after which they are deleted. Server logs are kept on our hosting provider’s default retention for the service.
Service providers
- Google Cloud (Cloud Run) — hosts this website and the API it submits enquiries to.
- Google Firebase — authentication for the customer portal sign-in.
Information held outside Canada
This website runs in Google Cloud’s us-central1 region, in the United States. While it is there, it is subject to the laws of that country, and may be accessible to United States courts and law-enforcement or national security authorities under those laws. If that matters for your organisation, contact us by phone or post rather than through the form.
6. Accuracy
We keep personal information as accurate and current as is necessary for the purposes above. Tell us if anything we hold about you is wrong and we will correct it.
7. Safeguards
Information is protected by safeguards appropriate to its sensitivity: HTTPS on every request, a website that stores no personal information and holds no database or credentials, and access to enquiry data limited to the people who need it. Our Security page sets out the technical measures in detail.
If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as PIPEDA requires, and keep a record of the breach.
8. Openness
This notice is public and linked from every page. Ask the Privacy Officer if you want more detail about our practices.
9. Individual access
You may ask what personal information we hold about you, how it has been used, and to whom it has been disclosed. We will respond within 30 days, as PIPEDA requires, and will tell you if we need an extension and why. Access is free unless we tell you of a cost in advance and you agree to it. You can also ask us to correct or delete information. If we refuse a request, we will explain why and how to challenge it.
10. Challenging compliance
Complaints go first to the Privacy Officer at info@hollend.com. We will investigate and respond in writing. If you are not satisfied, you may complain to the Office of the Privacy Commissioner of Canada — 1-800-282-1376, priv.gc.ca. Residents of Quebec, Alberta and British Columbia may also have rights under their provincial privacy legislation.
Children
This is a business-to-business website and is not directed at children. We do not knowingly collect personal information from anyone under 18.
Changes
If this notice changes materially, the revised version will be posted here with a new review date. Continued use of the site after that constitutes acceptance of the change.
